Comments
When visitors leave comments on the site we collect the data shown in the comments form, and also the visitor’s IP address and browser user agent string to help spam detection.
An anonymized string created from your email address (also called a hash) may be provided to the Gravatar service to see if you are using it. The Gravatar service privacy policy is available here: https://automattic.com/privacy/. After approval of your comment, your profile picture is visible to the public in the context of your comment.
Media
If you upload images to the website, you should avoid uploading images with embedded location data (EXIF GPS) included. Visitors to the website can download and extract any location data from images on the website.

How long we retain your data
If you leave a comment, the comment and its metadata are retained indefinitely. This is so we can recognize and approve any follow-up comments automatically instead of holding them in a moderation queue.

All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

We collect and process this personal information under the lawful basis of legitimate interest. Personal information is stored on secure cloud-based servers. In case of a security breach, we will inform you.
We will use this information in the following manner:
- Processing bookings.
- Fire registers and other site-specific insurance and safety purposes.
- Legal or safeguarding obligations, as previously outlined.
- Medical information will be made available to first aiders in the event of a medical emergency.
- For catered events, dietary requirements and allergy information will be shared with catering staff.
- Facilitate assistance during events and make our events more accessible.
We will not otherwise share your details with other organizations without your consent. Unless a significant safety risk to others is present (for example if we have to ban someone and take action following an incident involving a crime), in which case this information may be shared with other LARP organizers to help safeguard the hobby.
We will not retain your information for more than 1 year following an event, at which point it will be destroyed, unless you request otherwise. You may at any time request a copy of any and all information that we hold on you, or ask that that information be amended or deleted.
We reserve the right to retain information about any incidents in which you break our code of conduct. This information will be kept separate from any other personal information, and will be accessible only to KYR’s permanent staff. You may likewise request a copy of any information that we hold in this regard. You may request that we delete such information, however if you do so we reserve the right to cancel any current or future bookings that you may hold.
